Each year, BDAC’s official Flag Raising Ceremony and NAIDOC Awards are held onsite at their community health facility and corporate offices.
This year, it was requested to include a post event community lunch for 200 guests, featuring native ingredient influences within the menu.
Emcee for the event was Troy Benjamin, who delivered a vibrant flag raising and awards ceremony.
The details
Supporting BDAC’s internal event manager, Lost Cause Events worked in partnership to assist with the award nomination process, through to operational tasks on the day. This included:
- Support for cultural requirements needed
- RSVP management
- Event supplier logistics
- Emcee and VIP guest management
- All operational requirements, from bump in, to clean up.
- Hands on support on the day
- Award ceremony delivery
- Emcee notes, event plans and running sheets
- AV and hire requirements
- Decor and room arrangements
- Budget and payment processes for contractors
Also supporting this event was Tough Cookie Marketing who provided:
- Promotional materials and design for the NAIDOC Award nominations
- Digitisation of nomination forms
- Marketing support for the event to stakeholders
- Signage design
- Trophy, certificates and gifting tasks
The event was delivered in the BDAC main car park inside a large marquee, the Flag raising ceremony and awards presentation was presented in theatrette format with a small stage at one end, with morning tea and lunch catering marquees, coffee van and community engagement sites surrounding it.
After the official proceedings, a full reset of the theatrette space into a seated lunch area was completed within 10 mins to serve a grazing and roaming canape lunch menu.
It was an excellent turnout which ran exactly to time, providing attendees time to connect with each other and celebrate the success of the award winners.
Challenges
Limitations with parking space was a concern, which was expertly managed by BDAC’s internal event manager, and supported by new signage designs from Tough Cookie Marketing.
The fast paced marquee format flip managed with the support of BDAC staff volunteers who assisted in moving the pre-set and styled hidden tables into place for guests to utilise for lunch. The catering team was then able to commence the grazing table presentation and canape service.
